How We Started

When Globaltize came to us, their recruiters were spending 2 hours creating each client presentation manually, their CRM and ATS couldn't handle proper automation, and scaling meant more admin work, not more revenue. five months later, they had achieved 144% revenue growth through a complete systems overhaul that automated their biggest time sinks and fundamentally changed how they operate.

Project Process

Company Mapping

We began with multiple deep-dive company mapping sessions, documenting every step of Globaltize’s sales and recruiting workflows. During this process we created an org chart, identified the Jobs To Be Done for each role and the key information needed to help make each role successful. We also interviewed key team members to get an understanding of where they were struggling with manual and repetitive tasks. Once we understood the current state in detail, We then prioritized the highest priority bottlenecks and created a roadmap of improvements.

Quick Wins

Once the company mapping was complete, we identified and delivered a “quick win” by automating their service agreement and position questionnaire process, eliminating 15 minutes of time per service agreement which increased sales velocity.

System Evaluation & Migration

It became clear early on that their existing Client Relationship Management (Close) and Application Tracking System (Manatal) couldn’t support the level of automation, integration and reporting they needed to scale the business. We evaluated several options and settled on migrating the entire business to HubSpot, designing a custom data model for candidates, jobs, deals, and placements creating one centralized source of truth.

Full HubSpot Implementation

We rebuilt Globaltize’s workflows in HubSpot from the ground up:

  • Automated lead capture and deal creation

  • Integrated PandaDoc for proposal generation and e-signatures

  • Automated recruiter reminders, follow-ups, and status updates

  • Integrated forms to capture submissions automatically in the system

  • Built custom dashboards for recruiter KPIs and management reporting

  • Implemented a resume parsing and shortlist automation

Automation of Key Bottlenecks

The biggest time sink for recruiters was creating client presentations, each one took two hours of manual work. We engineered an end-to-end automation:

  • Recruiters submit candidate info via a simple form

  • System pulls data and links from HubSpot, parses resumes and interview transcript, updates images and uses AI to generate summaries

  • Automated creation of polished PDF presentations, ready to send to clients

  • Result: 1 hour and 45 minutes saved per presentation, multiplied across dozens of jobs monthly (42 Hours Saved in Month One Alone!)

KPI Tracking & Team Enablement

Once we had a solid foundation and eliminated the most pressing bottleneck, we worked with leadership to define the most important KPIs for recruiters and management. Custom dashboards were built for real-time visibility, and SOPs were documented for the core workflows. Weekly consulting and training ensured the team adopted and optimized the new system and improvements.
